Privacy notice

• Account data — email address, password (stored hashed by our auth provider), display name.
• Coach profile data — business name, your name, photo, biography, services and prices, location, remote/in-person availability, website and social links, specialist tags, and an optional mobile number (used by Coach Connect for administration only, never shared with clients).
• Review data — reviewer name, email address (never shown publicly), optional LinkedIn, Instagram and website links, the services used, how long you worked together, star rating and review text.
• Enquiries and bookings — your name, email, message, requested session time and any notes you add.
• Marketing data — email, first name and the coaching topics you chose, if you opt in to our emails.
• Payment data — subscription status and identifiers from Stripe. We never see or store card numbers.
• Listing statistics — counts of profile views and search clicks. These are aggregate counters, only collected if you accept analytics, and they do not contain names, IP addresses or tracking identifiers.

• Running the directory and your account — performance of a contract with you.
• Publishing coach profiles and approved reviews — legitimate interests in operating a trustworthy directory; coaches publish their own profile deliberately.
• Verifying reviews — legitimate interests in preventing fake reviews. We collect a reviewer email and optional links so we can check a review is genuine; the email is only visible to our moderation team.
• Marketing emails and offers — your consent, which you can withdraw at any time.
• Listing analytics — your consent, given through the cookie banner.
• Taking listing payments and keeping tax records — contract and legal obligation.

We do not sell personal data. When you contact or book a coach, your name, email and message are shared with that coach so they can reply — they act as an independent controller for what they do next. We also use a small number of service providers listed on our subprocessors page.

• Coach profiles and services — Kept while the profile is active, then deleted within 30 days of an erasure request or 12 months after an account is closed.
• Coach mobile numbers — Kept while the coach profile is active, then deleted with it. Used by Coach Connect for administration only, never shared with clients.
• Client reviews — Kept while the coach profile is live so future clients can rely on them. Removed on request, or anonymised where the review is still relevant.
• Booking requests and enquiries — Kept for 24 months for dispute handling, then deleted.
• Newsletter subscriptions — Kept until you unsubscribe, plus a suppression record so we don't email you again.
• Profile view and search-click counts — Aggregate counters with no visitor identifiers, kept for 24 months.
• Payment records — Handled by Stripe. We keep subscription status and invoices for 7 years to meet tax law.

Our database and hosting are in the UK/EU. Where a provider processes data outside the UK/EEA, transfers rely on UK International Data Transfer Addendum and EU Standard Contractual Clauses.

You can ask for a copy of your data, correct it, delete it, restrict or object to our use of it, withdraw consent, and ask for it in a portable format. Signed-in users can download all their data and delete their account instantly from the dashboard. Otherwise, submit a data request — we respond within one month.

If you're unhappy with how we handle your data you can complain to the Information Commissioner's Office (ICO).

Data is encrypted in transit, access to the database is restricted by row-level security rules, reviewer emails are readable only by administrators, and payments run through Stripe's hosted checkout.
